Our team currently have an opportunity for a Wellness Coordinator Analyst. Start your journey with us and we’ll support you to be your best. 

A unique role working onsite at our client’s corporate office in central London to support administration activity across multiple services within Wellness.

Person Specification: 

  • Excellent collaboration and communication skills 
  • Self-motivated and keen to develop skills and knowledge 
  • Comfortable in a highly professional and dynamic office environment, working within a busy team 
  • Strong attention to detail, analytical thinking and administration skills 
  • Experience of systems management and process development 
  • Project management experience and working knowledge of Wellness products is ideal but not essential 

Scope of the job:  

  • Work for Nuffield Health within a client team / office to support key activities and projects 
  • Support activity on vendor performance management, governance, data processing, query management, record keeping and invoice processes 
  • Manage employee / vendor queries and website content 
  • Present Wellness topics in a variety of internal meetings and settings 
  • Varied administration duties with opportunities to develop knowledge in the Wellness field 
  • This role is primarily in-office so applicants must be able to commit to working in modern Central London office up to 5 days a week 

Main duties and key responsibilities: 

Key responsibilities include, but are not limited to the following tasks: 

  • Budget and invoice management: Coordinate Wellness budgets and invoice processes, including tracking expenditure, processing invoices, maintaining accurate records and supporting timely reconciliation. 
  • Wellness standard operating procedures: Coordinate the development, review and maintenance of all Wellness standard operating procedures, ensuring documentation remains accurate, current and accessible. 
  • Wellness policies: Coordinate the review and maintenance of Wellness policies, working collaboratively with relevant stakeholders to support consistency and effective implementation. 
  • Presentation creation: Create clear, professional presentations and supporting materials for Wellness meetings, programme updates, educational sessions and stakeholder communications. 
  • WEX website support: Support the management and maintenance of the Wellness Exchange (WEX) website, including content updates and quality checks. 
  • Employee queries: Manage and respond to employee queries tracking cases through to resolution and escalating complex matters where appropriate. 
  • KY3P delegate: Act as the Wellness KY3P delegate for the EMEA Head of Wellness, supporting required coordination, administration, documentation and follow-up activities. 
  • EMEA First Aid strategy support: Support the coordination and delivery of the EMEA First Aid strategy, working with internal stakeholders and external providers as required. 
  • Vendor management and contract renewals: Coordinate vendor management activities and contract renewals, including maintaining trackers, monitoring key dates and supporting governance and performance discussions. 
  • Project management: support the Wellness Project Manager with the coordination of Wellness projects from planning through delivery, maintaining project plans, tracking actions, managing dependencies and supporting completion within agreed timelines. 
  • Programming support: Provide coordination and administrative support for Wellness programming, including speaker and vendor liaison, logistics, communications, registration and invoice processing.
